Project Overview
Getting Started with Extractly is a technical training course designed to help accounting and audit professionals use Caseware’s Extractly add-in to extract, validate, and manage data from PDFs and image-based financial documents directly within Microsoft Excel.
Extractly is used to streamline document review workflows by allowing users to pull tables, text, and numerical data from supporting documents into Excel, automate recurring extraction tasks, and maintain an audit trail during financial reviews.
The course was designed as a modular learning experience composed of short task-based walkthroughs that guide learners through the core Extractly workflow. Modules cover launching the add-in within Excel, uploading and organizing documents, performing text, table, and numeric extractions, applying redactions to sensitive information, validating document content, automating extractions using templates, matching sample data across multiple files, and managing the Extractly workspace.
The instructional strategy focused on practical system training rather than conceptual instruction. Each module demonstrates a specific workflow inside the application using narrated walkthroughs aligned with the real user interface and ribbon commands. Learners follow along as actions are performed directly in Excel and the Extractly task pane.
The design approach prioritized clarity, accuracy, and workflow alignment with real audit processes. Examples include extracting invoice numbers or financial data from supporting documents, validating values against audit evidence, and cross-matching Excel sample lists against uploaded files to confirm supporting documentation.
To support scalability and efficient reuse, the course also demonstrates template-based extraction workflows that allow users to automate recurring document processing by saving extraction layouts and applying them to new files with similar formats.
The result is a technical onboarding course that helps accounting professionals reduce manual document review, improve accuracy when extracting financial data, and streamline their evidence validation workflows.

I analyzed the Extractly product workflows and translated them into structured learning modules aligned with real user tasks. I developed detailed scripts and storyboards for each module, designed the learning sequence, and produced step-by-step walkthroughs that mirror the actual system interface.
My work included designing demonstrations for data extraction workflows, automated template usage, validation and exception marking, document redaction, and cross-document data matching. I also ensured the instruction aligned with real audit use cases such as verifying invoice values, validating supporting documentation, and maintaining an audit trail during document review
